Break-even analysis tells you exactly how much you need to sell before your business stops losing money. The break-even point is the sales level at which total revenue equals total costs, producing neither a profit nor a loss. Two formulas cover most situations:
Break-even (units) = Fixed costs ÷ (Selling price per unit − Variable cost per unit)
Break-even (sales $) = Fixed costs ÷ Contribution margin ratio
Start by listing every fixed cost your business carries each month. That single number is the foundation of the entire calculation, and most owners underestimate it on the first pass.

Contribution margin per unit = Selling price − Variable cost per unit.

If you sell a product for $80 and the variable cost is $30, your contribution margin is $50 per unit. As a ratio: $50 ÷ $80 = 62.5%.
Break-even in units: Divide total fixed costs by contribution margin per unit.
Break-even in sales dollars: Divide total fixed costs by the contribution margin ratio.
Alternative dollar formula: Break-even sales ($) = Indirect fixed costs ÷ Gross margin percentage. For example, $25,000 ÷ 65% = $38,461 in required sales.
Check your work: Multiply break-even units by selling price. The result should match your dollar break-even figure.

Step 3: Interpret the result The operator needs to sell a certain number of packages, or collect a certain amount in revenue, before earning a single dollar of profit. At an average of typical selling days per month, that works out to roughly this many packages per day. If current daily orders are lower, the owner knows immediately the gap in packages per day, not an abstract shortfall.
This number also sets a cash-flow floor: until sufficient revenue lands in the bank each month, the business is drawing down reserves.
A slow January with fewer daily packages means the owner needs to plan for a cash shortfall that month.
Knowing the daily target makes it possible to track progress weekly rather than waiting for a monthly P&L surprise.
Getting this classification right is what separates a useful break-even calculation from a misleading one. Accurate cost distinction avoids underestimating the revenue your business needs to stay afloat.

Utilities and some labour costs are mixed: they have a fixed base plus a variable component. For a small operation, the high-low method works well. Take the highest-volume month and the lowest-volume month from your records, subtract the costs, and divide the cost difference by the volume difference. That gives you the variable rate per unit. Subtract the variable portion from the total cost at either point to isolate the fixed base.
Contribution margin is the amount each sale contributes toward covering fixed costs. A high contribution margin ratio means you reach break-even faster; a low one means you need significantly more volume to cover the same fixed base. There are four levers, and they are not equally accessible for every business.
Reduce fixed costs: Renegotiate your lease, consolidate software subscriptions, or move to a shared workspace. Fixed cost reductions lower break-even dollar-for-dollar and do not require selling a single additional unit.
Reduce variable cost per unit: Renegotiate supplier terms, consolidate orders for volume discounts, or improve production efficiency. For low-margin businesses, this lever often has the largest proportional impact on break-even.
Increase selling price: A price increase raises contribution margin per unit and lowers break-even units simultaneously. The trade-off is potential volume loss. Run a combined sensitivity scenario: model a 5% price increase alongside a 3% drop in volume to see the net effect before committing.
